Duties and Responsibilities:
* Provides supplies by identifying needs for reception, switchboard, mailroom, and kitchen; establishing
policies, procedures, and work schedules.
* Provides communication systems by identifying needs; evaluating options; maintaining equipment;
approving invoices.
* Accomplishes staff results by communicating job expectations; planning, monitoring, and appraising
job results; coaching, counselling, and disciplining employees; initiating, coordinating, and enforcing
systems, policies, and procedures.
* Has full responsibility regarding invoicing and billing process.
* Completes special projects by organizing and coordinating information and requirements; planning,
arranging, and meeting schedules; monitoring results.
* Maintains professional and technical knowledge by attending educational workshops; benchmarking
professional standards; reviewing professional publications; establishing personal networks.
* Contributes to team effort by accomplishing related results as needed.
* Improves program and service quality by devising new applications; updating procedures; evaluating
system results with users.
* Compiles unit news and information for LTD communication initiatives.
* Coordinates work flow and policy implementation with unit’s administrative staff, including infor-mation about use of EDC’s meeting and webinar technology resources.
* Manages all equipment inventory and orchestrates unit equipment and supply purchases.
* Maintain a calendar of deadlines and ensure that all requests for information and reports are sub-mitted in a timely manner from the Divisional business units and other areas.
* Draft financial, statistical, narrative, and/or other reports as directed.
* Assist Divisional staff with completion and submission of travel expense reimbursement reports.
* Oversee administration of Divisional budgets.
* Manages income and expenditure in accordance with agreed budgets, reporting on any budget variations.
* Manages purchases and controls stock.
* Provides regular written reports to Director of Operations, including key metrics and indicators for each activity.
Qualifications required
•Minimum* five years’ experience in similar position
•ISO knowledge
•C1 Level of English
•Excel expertise
* Excellent communications skills
